Sustainability Focus Group

Terms of Reference

Background
As part of Carillion’s sustainability strategy the need for a Carillion SFG has been identified. It will provide an opportunity for Shared Service representatives to get more involved with our drive towards sustainability and improve the environmental standards within Carillion’s Head Office complex.

Objectives

Consistency

• To achieve a consistent approach to integrating sustainability.
• To enable all Shared Services to achieve maximum benefits from environmental and sustainability initiatives through co-ordinating effort, communication and marketing support.

Communication

• To receive and disseminate internal and external information.
• To provide a forum for exchange of environmental and sustainability good practice.

Involvement

• To ensure awareness and involvement of Shared Services in the drive towards sustainability.
• To enable representatives to engage their Shared Services.

Influence

• To provide advice and assistance to Shared Services and Environmental Champions.

Deliverables
• Develop an Environmental Management System for Head Office.
• Develop and implement training and awareness raising strategy for Head Office.
• Develop and implement waste management strategy for Head Office.
• Ensure sustainability is consistently applied in the shared services and business groups.
• Ensure communication between Head Office environmental champions.
• Develop shared service sustainability network to enable mutual support.
• Provide data for our annual sustainability report.
• Implement and report on KPIs.
• Respond to and influence the Sustainability Operations Group (SOG).
• Meeting outcome to be reported through Business Group and plc board reports and SOG.

Scope
All Shared Services
Representation and advice from Environment Advisors within IMS Shared Service.

Membership of the Forum
Every Shared Service will be represented by a nominated member.
The forum will have a convenor that will arrange for coordination of meetings. It is expected a maximum of 7 hours and a minimum of 2 hours per month will be required from attendees.

Roles and Responsibilities

SFG Member

Provide link to and advise for environmental and sustainability matters relevant to their shared service.
Provide contact point with group for communication.

Convenor

Convene and chair meetings. Ensures provision of appropriate expertise.
Issue notes and invite additional speakers.

Meeting Structure
Meetings will be held monthly for one hour.
As the meetings are to be short it is expected that some preparatory work will have been undertaken in advance. The agenda should be flexible to accommodate particular requirements, but should loosely be based around the following:
